Most offices in Tamil Nadu already have the paper. Years of applications, orders, inspection reports and letters, scanned and sitting in folders on a shared drive. Someone still has to remember which folder, or search by file name and hope. The question is not whether AI can help here — it can — but whether your office is at the point where it is worth setting up.

- Staff spend real time each week hunting for a past order or letter because the file name does not say what is inside.
- The same question comes from the public or from a higher office repeatedly, and answering it means opening several files by hand.
- Records exist only as scans or photographs, not as searchable text.
- New staff take weeks to learn where things are, because the knowledge is in people's heads, not in the system.
What a good one does
A private setup reads your scanned files, including Tamil and mixed-language pages, and turns them into text you can search by name, date, subject or keyword. It answers questions using only your office's own files — never the open internet — and it should tell you which file and which page an answer came from, so a clerk can verify before acting on it. Nothing about your records should leave your office's own storage.
What it costs you
The work is mostly upfront: getting files off individual computers and into one place, cleaning up duplicate or torn scans, and deciding who can see what. After that, day-to-day cost is small — mainly storage and the time to add new files as they come in. It is not worth doing for a handful of files, or for one-time projects. - Where do the files and the search index actually sit — on whose server, in which country?
- Does the system point to a source file for every answer, or does it just give a summary you cannot check?
- How is access controlled, so someone can only search files their post allows?
- What happens to your data if you stop using the vendor?
