A WhatsApp chatbot for your business: what is realistic

A chatbot that answers well and a chatbot that frustrates customers use the same technology. The difference is scope.

· 2 min read · For business owners considering automated WhatsApp replies

You get the same five questions on WhatsApp all day — hours, location, price, stock, delivery time — and answering each one by hand eats into the day. A chatbot sounds like the fix. It is, for the questions you can predict. It is not a replacement for a human on the questions you cannot.

What is realistic today

  • Answering a known, limited set of questions accurately, any time of day.
  • Collecting an order or a booking with a short set of fixed questions.
  • Sending confirmations, order status and reminders through approved templates.
  • Handing off to a human cleanly when the question falls outside what it knows.

What is not realistic

A bot that tries to handle any question a customer might type, in natural language, without limits, tends to either give wrong answers confidently or get stuck in loops — both worse than no bot at all. Complaints, refunds and anything where a customer is upset need a person; routing these to a bot first, with no fast way out to a human, is the single biggest reason customers hate a business's chatbot.

What it costs you

The setup cost is in defining the actual questions and answers for your business, and testing them against how your customers really ask — not how you imagine they ask. Plan for a visible "talk to a person" option from the first message, not buried three menus deep. After launch, review what the bot could not answer every week or two, and add those cases — a bot that is never updated goes stale fast. Expect the first month to surface questions you had not thought to script, and treat that as useful signal rather than a failure of the bot.

Questions to ask any vendor

  • How does a customer reach a human, and how many steps does it take?
  • Is it built on the official WhatsApp Business Platform, with approved templates for anything sent outside a live conversation?
  • Can you see and edit what the bot answers without asking the vendor each time?
