Priya Sharma has been teaching yoga and HIIT classes for seven years. When she opened her own studio in San Diego's North Park neighborhood, she discovered that running a fitness business involves a surprising amount of software.

The Problem

"Mindbody is the industry standard, and I hated it," Priya says bluntly. "It's $250/month for the plan I needed, the interface feels like it was designed in 2008, and it could not handle my class model."

Priya's studio runs a hybrid model: some classes are in-person only, some are virtual only (streamed via Zoom), and some are hybrid with limited in-person spots and unlimited virtual spots. Mindbody treated every class the same way — it couldn't enforce different capacity limits for in-person vs. virtual attendees in the same class.

"I'd have to create two separate class listings for every hybrid class — one for in-person and one for virtual. Clients would get confused. I'd get double-booked. It was a mess."

She also wanted features Mindbody didn't offer: a class pack system where clients buy bundles of classes at a discount, a waitlist that automatically notifies people when a spot opens, and a loyalty program for consistent attendees.

Building FlowStudio

"A client who's a software engineer told me about Velosyti after class one day. She said 'you could probably build your own booking system over the weekend.' I thought she was crazy, but I tried it."

Priya described her ideal system: class scheduling with hybrid capacity (separate limits for in-person and virtual), online booking, class pack purchases, automatic waitlist management, and a client dashboard showing upcoming bookings and remaining class credits.

"The first version was done that Saturday. It handled scheduling and booking perfectly, including the hybrid capacity thing that Mindbody couldn't do. I spent Sunday adding the class pack system and waitlist."

Over the following week, she added: - Automatic Zoom link generation for virtual and hybrid classes - A "bring a friend" feature where members can share a free guest pass - Post-class feedback surveys - A monthly attendance report that highlights members who haven't visited recently

The Impact

FlowStudio went live at the start of the year. The transition from Mindbody was completed in a week.

"My members were excited. The new booking experience is so much smoother — they open the app, see the schedule, tap to book, done. Mindbody required like six taps and a page refresh to book a single class."

The hybrid capacity management alone solved Priya's biggest operational headache. No more double listings, no more confusion about which link to use.

No-show rates dropped 60%, which Priya attributes to the automatic reminder system and the easy cancellation/waitlist flow. "When it's easy to cancel and you know someone on the waitlist will take your spot, people actually cancel instead of just not showing up."

The Business Case

Priya's monthly software spend went from $250 (Mindbody) + $50 (Mailchimp for emails) + $30 (loyalty app) = $330/month to about $30/month for hosting. That's $3,600/year in savings.

But the bigger win is member retention. "The class pack system and loyalty rewards keep people coming back. My 6-month retention rate went from 45% to 72%. That's the metric that matters in fitness."

Two other studio owners in San Diego have asked Priya to help them build similar systems. She's considering it as a side business.
